What can the individual mailing list be used for?

  • Independent check whether and which fields have been correctly transferred to optilyz.
  • Independent check whether all personalization contents per data record have been completely and correctly transferred to optilyz.
  • Independent check of the general data quality of your data records provided to us after correction by optilyz.
  • Independent check of addresses corrected and/or excluded by optilyz:
    • Verification of the deliverability of the respective address.
    • Minor corrections to formatting and spelling errors
    • Identification of Suspicious Names such as Mr. John Doe, Test Testerman or Max Mustermann
    • Identification and exclusion of addresses outside the specified country of delivery
    • Removal of duplicate recipients (duplicates)
    • Exclusion of undeliverable addresses
  • Inclusion of address data corrected by optilyz in your database.
  • Removal of records deleted by optilyz from your database.

Log in to the optilyz platform > Mailings > select appropriate mailing > Recipients > Mailing List



 

What can I expect when I download the list?

Inside the zip folder there are three CSV files and one ReadMe file in PDF format:



  • Final Recipients List: final_recipients_list.csv:
    •  If, when configuring your automation/mailing, you decided to include addresses that resulted in warnings during the verification process, the respective information can be found in the "Warning" column. Also, in the "Fixes" column we have described any changes or improvements we have made to deliverable addresses. This is the final data list based on which the mailing will be produced

  • Removed addresses: deleted_recipients_list.csv:
    • Recipients removed from the final mailing list ("final recipients") contain information about the reasons for their removal in the "Comments" column. If you want to include them in your mailing, you need to fix the described errors and upload the corrected data. In addition, you can remove these records from your database if you wish. 

    • Possible reasons for removing the address are:

      - The record is missing one of the following fields to allow delivery: last name, street and house number, zip code, city.

      - Delivery addresses are post offices, packing stations or similar. This is not possible.

      - Both first and last name as well as the full name were transmitted - this confuses the optilyz platform. Please choose one option.

      - The last name is too short (e.g. "A") or missing.

      - The data set is outside the selected delivery country.


  • Data you have submitted to optilyz: original_recipients_list.csv:
    • The records you submitted before optilyz reviewed them.

  • ReadMe.pdf: Help on how to use the mailing list.

 

How do I handle errors in my records?

If you discover errors in your review, you can resubmit the data to us. It is important that you contact us briefly so that we do not use the incorrect records for printing. 

Contact your personal representative or write us a message at support@optilyz.com.


If the records contain serious errors that mean we cannot process and produce the mailing, you will receive a feedback email explaining exactly where the problem lies in your address or personalization data.


A correction by optilyz is not possible in any case, as the manual effort cannot be provided by us. In addition, this creates a high potential for errors, so corrections and adjustments in the data must be taken over by you and then transferred to optilyz again.



How long is the individual mailing list available?

Very important: The mailing list is only available for 28 days after postal handover! After that, the data is automatically deleted due to GDPR reasons and cannot be restored. Please always download the list in time if necessary.
